Position Overview
Responsible for supervising the daily operations of the CBRF, including but not limited to resident care and services, personnel, finances, and physical plant. The Administrator shall provide the supervision necessary to ensure that the residents receive proper care and treatment, that their health and safety are protected and promoted and that their rights are respected. 


Essential Responsibilities

Resident Health and Wellbeing:

  1. Be present for all State and Family Care inspections.
  2. Conduct resident's admission process and ensure that all medication is set up, the care plan is completed, and all the staff is aware of how to care for the resident.
  3. Oversee the residents' condition. Inform physician and family of any changes in condition and help coordinate improvement plans related to a change.
  4. Update the ISP/Care Plan for all residents and follow up on any concerns to ensure the resident's needs are being met.
  5. If a resident would be sent out to the hospital or rehab center, this administrator will communicate with the ER regarding the reasoning for visit, as well as assess and coordinate the resident's return.
  6. If a resident is seen by the physician, ensure that all medication changes are applicable to the resident's condition. Coordinate with the pharmacy and make sure the new orders are put into ECP correctly and stored properly in the facility.
  7. Schedule doctor and transportation appointments for residents as needed. Personally transfer resident(s) to and from appointments as needed using a personal vehicle.
  8. Conduct resident evacuation assessments upon admission and chronic change of condition.
  9. Complete monthly psychotropic review sheets on each resident.
  10. Create and / or oversee all resident incident reports and ensure a plan is implemented to prevent further occurrences.
  11. Respond and follow-up with any resident and/or family member concern promptly and create a plan of resolution.
  12. Communicate all resident concerns with the company RN to assist in coordinating the best health outcome for each resident on an as needed basis.
  13. Review, respond to, and update notes on Extended Care Pro (ECP) software on a daily basis.
  14. Conduct each resident care plan meeting 30-days after admission and annually thereafter. Invite the Resident, Social Worker, and Resident's POA to join.


Employee Management:

  1. Motivate and teach employees to support the philosophy of Castle Senior Living, Inc.
  2. Monitor employee schedules to ensure facilities are appropriately staffed at all times. Assist employees, when necessary, in finding shift replacements. The Administrator must work the shift if no-one else is available.
  3. All Workers Compensation injuries should be reported to the Human Resource department immediately upon notification or Monday morning if it occurs over the weekend. If it is a serious injury notify Human Resource immediately. Perform a thorough investigation into the cause of the injury including obtaining witness reports, if applicable.
  4. Perform Investigations for any theft or misappropriation of any type immediately, including missing narcotics. Work with Human Resources to administer drug testing if necessary.
  5. Monitor all safety and OSHA related guidelines to ensure compliance.
  6. Ensure all employees are following proper policies and procedures; work in tandem with Human Resources to administer discipline in a timely manner when warranted. Conduct corrective action procedures according to company policy and re-train employees as needed.
  7. Train and ensure caregivers are completing all daily, weekly, and monthly tasks.
  8. Promote all employee programs with help from Human Resource department.


Physical Building:

  1. Ensure that the facility is properly maintained both inside and out.
  2. Ensure all proper inspections are conducted per Wisconsin DHS 83 and DHS 50 Code.


Administrative/ Other:

  1. Ensure actions are at all times consistent with the norms and values of Castle Senior Living, Inc.
  2. Maintain a positive working relationship with residents, residents' families, co-workers, supervisors, suppliers and vendors.
  3. Perform tours of the facilities as requested by perspective residents and their family's
  4. Attend all administrative meetings.
  5. Complete Self-Reports to State on resident incidents as required.
  6. Facilitate 30-day notices as needed to current residents and families. Work with the Family Care Social Worker if applicable on finding new placements.
  7. Oversee Birchrock Apartments to ensure operations is running smoothly.
  8. Assist with any new projects as requested.
  9. Conduct accurate supply ordering and inventory for the facility; oversee that an accurate food inventory is completed and that food/supply orders are within budget.
  10. Coordinate menu planning for individuals with special diets.
  11. Be fluent and proficient in Microsoft Office Suite, ECP, When I Work, and Relias Learning and ensure that subordinates are using software as required.
  12. Finish all required continued education credits to satisfy job requirements.
  13. Keep facility, residents, and staff in compliance with DHS code 83 and code 50.
  14. Have a solid understanding of the employee handbook and all company policies and procedures
  15. All other duties as assigned.



Bachelor's degree in like field or Administrator's license. Minimum age requirement is 21. Prior experience and training preferred. Complete all necessary trainings for the CBRF certification within the mandatory timeframes allotted by the State of Wisconsin, CBRF certifications completed is preferred.  Must complete and stay current with a minimum of 15 in-service hours required by the state of Wisconsin. Ability to communicate a concern or complaint in a constructive and professional manner following protocol. Must possess exceptional communication and problem solving skills and ability to work effectively with all levels of employees throughout Castle Senior Living. Must have the ability to work on a computer and learn new software. Must have a working phone or a way staff can reach you while on-call.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to stand for long periods of time, communicate verbally and hear. The employee frequently is required to stand and walk. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.  Proper lifting techniques are required.
